Once you’ve spoken to the tourism people and gotten a few dates that could work, here are a few other factors to consider:
🌧️ Weather A long weekend in February is a hard sell almost anywhere in Canada. Aim for a window when your community looks like the version of itself you want visitors to see. For most communities that is between late April and early October.
🏨 Hotel availability Visitors are paying their own way. If hotels are sold out, your event will not work. Check with two or three local hotels before locking in your date.
❌ Local conflicts Find out what else is happening in your community that weekend. A major festival is not necessarily a problem (it can actually help bring energy to the weekend), but a marathon that closes downtown roads is a problem. A municipal election is a problem. A long weekend with a competing nearby event might be a problem.
Avoid peak travel season as well - the last thing you want is to bring stress to your community at a time when they are busiest.
✈️ Travel logistics If your community depends on ferries, flights, or seasonal road access, check the schedules. Holiday weekend flights are more expensive.
🌞 Long weekends Long weekends increase visitor numbers but also increase traffic and stress on local infrastructure. Some communities will benefit from being on a long weekend; others will not. There is no single right answer.
A weekend (Friday-Sunday) is the standard format. Two and a half days is enough for someone to fly or drive in, see the place, and fly or drive home. Three full days is too long for most working visitors.

Lessons learned, Nanaimo 2026: We chose late April. The weather is unpredictable that time of year, but the hotels are not yet at peak summer pricing. Visitors who came told us repeatedly that they appreciated being able to get a room without paying $400 a night.
